This policy explains how we collect, hold, use and disclose your personal information across our real estate and strata activities. Our handling of employee records is exempt from the Privacy Act; all other personal information we collect, hold, use and disclose is managed in accordance with the Privacy Principles.

Vendors, prospective vendors and prospective purchasers

We collect personal information from vendors to fulfil our contractual obligations and to prepare market appraisals. Information collected from purchasers and prospective purchasers is used to inform them about properties that may be of interest, including through open house inspections, which may also be used for security purposes and follow-up communications. We may use this information for direct marketing and to seek potential clients through our promotional activities. Where necessary, information may be disclosed to prospective purchasers and vendors, media organisations, clients, property evaluators and valuers, owners corporations, government bodies, financial institutions and other third parties as required by law.

Landlords and prospective landlords

We collect personal information from landlords to act as their agent and to fulfil our management agreement, or to provide a market appraisal. This information may be used for direct marketing and client acquisition unless you tell us otherwise. Where necessary, it may be disclosed to prospective tenants, media and internet platforms, clients, tradespeople, owners corporations, government bodies, financial institutions and other third parties as required by law.

Tenants, prospective tenants and strata proprietors

We collect personal information during tenancy applications to verify identity, process applications and manage tenancies. Application data and inspection reports may be disclosed to landlords, referees, tradespeople, owners corporations, government authorities, financial institutions, other agents, operators of tenancy reference databases and other third parties as required by law. If a tenant does not comply with their obligations under a tenancy agreement, that fact may also be disclosed to the landlord, other agents and operators of tenancy reference databases.

We disclose personal information only as necessary to perform our contractual duties, for the purposes described above, to deliver our services effectively, or to comply with the Privacy Act. Some information is collected because real estate and taxation laws require it. If you do not provide the information we request, we may be unable to provide our services to you.
